Job Summary

The successful candidate will join as a Regional Administration Officer in the Supply Chain Department. (S)He will report to the Facilities Manager and will coordinate the provision of logistical support services for the growth of the company in the territory.

Key Responsibilities

Facilities Management

Responsible for the management of all shops within Accra, Eastern, Central and Volta regions
Review and report on a monthly basis on Health and safety for all facilities.
Responsible for the maintenance of the company’s facilities within Accra and territory.
Manage all related services and contracts for office structures.
Ensure a clean and workable environment.
Coordinate and oversee all civil, carpentry, plumbing and electrical work projects within the shops and head office.
Ensure the on-time servicing and maintenance of all backup generators, HVAC within the shops.
Responsible for office space management (desk arrangement)
Responsible for waste management
Ensure safety and proper documentation of company assets and their movement Support Services
Responsible for the efficient management of courier services (Domestic and International).
Responsible for constant and uninterrupted supply of utilities within the shops (water, electricity)
Ensure the maintenance, servicing and supply of fuel and fuel optimization of all generators sets within the shops reporting on a monthly basis of run hours and fuel consumed.
Ensuring all business units are duly licensed within the territory, (B.P.O, Property Rate, Fire Certificates, etc.)

Finance & Reporting

Prepare accrual report for all spend within the shops.
Manage the General Admin budget for the shop’s routine repairs, maintain and provide input for budgeting purposes.
Ensures all spend are within budget.

Qualification Required & Experience

University degree or an equivalent educational background in Administration.
Must possess a valid driver’s license with a minimum of two years driving experience.
Minimum of two years’ experience in service delivery (practical problem-solving role).
Knowledge of motor vehicle maintenance.
Experience of Facilities management and general maintenance.

Minimum Experience & Essential Knowledge

Practical thinker and good eye for details.
Strong sense of ownership, initiator, and ability to work independently and under pressure.
Good Problem-solving skills
