Project Brief
The new programme “Strengthening the Ghanaian pharmaceutical sector with a focus on local vaccine production” takes a holistic approach to promoting the pharmaceutical private sector with a special focus on vaccine production: (i) strengthening the coordination of relevant public and private sector actors and in particular the national regulatory authority, (ii) training of specialists for the private sector and science, (iii) promoting research and development, (iv) promoting the pharmaceutical private sector.
Scope Of Role
The office manager assists management and the team in the smooth running of the day-to-day operational activities of the new programme “Strengthening the Ghanaian pharmaceutical sector with a focus on local vaccine production”.
Tasks
Act as first point of contact for all enquiries.
Manage all incoming and outgoing correspondence (post, fax, email).
Provide administrative, minute taking, and logistical support for all events, meetings, workshops and conferences.
Plan, organize and coordinate all daily schedules and appointments on behalf of the team.
Arrange travel and hotel bookings as well as reimbursement for all travel related expenses.
Handle all the office equipment/stationary purchases and ensures its maintenance.
Manage the project inventory in WINPACCS as well as maintain a comprehensive filing system of inventory files.
Coordinate the support team (drivers, cleaning staff).
Qualification Required & Experience
Bachelor´s degree/Technical Vocational Institute Degree in Business Administration or other discipline relevant to the position.
At least 3 years professional experience in the same or similar role.
Proficient in the usage of IT products (Microsoft Office Tools, scanner, printer).
Very good communication skills (verbally and in writing).
Excellent knowledge of English language.
Organized, ability to multitask and excellent interpersonal skills.
Willingness to train and be trained as required by the tasks to be performed
