Job Description
Job Summary:
The Warehouse Officer is responsible for overseeing the efficient and effective operation of the warehouse. The role involves managing various aspects, including goods reception, order processing, inventory control, and ensuring compliance with safety and quality standards.
Key Responsibilities:
Goods Reception:
· Handle the physical and data reception of goods from vendors.
· Compare SKUs and quantities of purchase orders to invoices and verify against actual goods.
· Prepare returned goods for dispatch to distributors based on return orders.
Order Processing:
· Control picking, confirmation, assignment, and delivery processes.
· Monitor and enhance delivery performance by planning tactics and following up on driver delivery times.
Inventory Management:
· Monitor product expiry dates through daily practices.
· Manage returned products from clients and update warehouse inventory.
· Organize tasks and schedules for pickers and fleet teams based on checklists and trends.
Warehouse Operations:
· Supervise warehouse administration and operations to ensure optimal service.
· Ensure proper organization, zoning, and planogram of products in the warehouse.
· Maintain suitable storage conditions and allocate space efficiently.
Reporting and Auditing:
· Perform stock takes monthly and bi-yearly audited ones, coordinating with the inventory controller.
· Set daily cycle counts for correct and live inventory.
· Report damaged products with reasons and actions, initiate transfers to quarantine or returns as needed.
Supply Chain Coordination:
· Coordinate with demand planning department on stock replenishment and delivery schedules.
· Manage the order and consumption of warehouse consumables.
Safety and Quality Assurance:
· Abide by safety and quality standards set for the warehouse.
· Report hazards, risks, accidents, or incidents to QHSE department.
· Ensure compliance with all warehouse methodologies and IMS procedures.
Cost Optimization:
· Maintain optimized warehouse space and cost.
· Report Hardware needs and provide objectives and recommendations.
Personnel Management:
· Participate in the recruitment and back-up planning of warehouse staff.
· Manage and ensure the backup plan for warehouse operations.
Reporting:
· Submit all warehousing reports to Area Management.
Qualifications and Skills:
· Degree in Business, Logistics, or a related field.
· Proven experience in warehouse management with at least 3 years of relevant experience.
· Strong organizational and leadership skills.
· Excellent communication and interpersonal abilities.
· Proficient in inventory management software.
· Knowledge of safety and quality standards.
· Ability to analyze data and make informed decisions.
· Strong problem-solving skills.
